We would like to take this opportunity to inform you of an exciting new development that could drastically improve the efficiency of your existing dictation system namely, "Phillips Digital Dictation".

Dictators and transcriptionists may work in different offices, teams or even different countries. With an analog system, these dictations would need to be transported using the internal mail system, recorded down the telephone line or posted, proving to be time consuming, costly and difficult to monitor.

Instead, with only one click of the mouse, digital dictation can be automatically attatched to an e-mail message that can be sent immediately to the transcriptionist from anywhere in the world at any time of the day or night . If the transcriptionist is out of the office at the time, they can simply pick these up as soon as they return to the office and check their e-mail! As the dictations are compact digital files, these e-mails may cost less than a penny to send, rather than a long telephone bill to re record this in "real-time", (or postal service with it's time delay and cost).

With the 'Philips' digital dictation system, all dictations are compressed and stored as files on the computer, allowing them to be stored on floppy disk costing 25p rather than a few pounds for a tape. Alternatively files could be stored on a computer or a shared directory on your computer network, costing nothing, and saving the time delay and hassle involved in transporting numerous tapes.

Instead, with the Phillps SpeechMike Digital system, our equipment is integrated with your computers . For Dictators, this comprises of a dedicated microphone with an in built speaker (and trackball mouse to navigate through windows). For Transcriptionists, this would involve using an adapted foot-control and headset. This allows staff to dictate and/or transcribe, with the dictations being stored and retrieved directly from the computer/network.

As this is a digital product, some of your colleagues may be worried about being less computer literate than they may like. To allow for a smooth and stress-free transition, we will offer all relevant staff free training in how to use the digital Dictation & Transcription system. This training will be to each Dictator/Transcriber's satisfaction, (as some people may require more training than others). This will ensure that everyone is able to use this system to help them be more efficient in their work.
